Volunteers

The 9th annual Art & Air Fair is fast approaching, on June 1 - 3, 2012, and we are looking for volunteers!  110+ artists, in 12 categories, have been selected to exhibit and sell their fine art at Art & Air, held on the beautiful grounds of Eden Seminary in Webster Groves.  The fabulous art, live entertainment, fun activities, and mix of delicious foods and beverages continue to make Art & Air a fun & exciting summer treat. Your presence as a volunteer can help us make this year’s fair even better!

We need volunteers in a variety of areas as detailed below.  Shifts are available in 2 to 4 hour shifts.  Volunteers should arrive ten (10) minutes prior to their shift to check in and become oriented with the fair layout. All volunteers will receive a Art & Air volunteer t-shirt to wear during their shift along with complimentary snacks and beverages.

Overview of Fair Areas and Assignments

Below are some general areas that need assistance, along with a brief overview of the activities involved.  In signing up for an area, you may be asked to take part in all or any part of the items described, so please let us know of any restrictions you might have.  The most important thing in all areas is to have fun and to make sure that everyone attending is met with warmth & hospitality!

Fair Setup and Takedown

  • Assist with fair layout on Tuesday before the fair, marking tent locations with surveyor’s paint
  • Assist with fair set-up on Thursday & Friday before the fair (may require heavy lifting)
  • Assist with setup & unloading artists on Friday AM and afternoon (may require heavy lifting)
  • Help place signs throughout fairgrounds
  • Move tables & chairs back into place on Saturday & Sunday mornings, general “re-set” of fairgrounds
  • Pick-up trash & neaten fairgrounds on Saturday & Sunday mornings
  • Assist with take-down at the end of the day on Sunday, taking down signs, re-packing boxes, etc.
  • Help re-pack fair components for long-term storage on Monday

Information Booth/Fair Assistance

  • Answer questions about the fair and the vendors and distribute information as needed to the general public. (Reference materials will be on hand.)
  • Check in volunteers, collect any missing information, & hand out t-shirts 
  • Direct volunteers to assigned areas & inform them of specific duties
  • Re-stock & distribute snacks and water to volunteers as they check in and as needed
  • Distribute water & snacks to artists throughout the fair
  • Gather information about fair attendees as needed
  • “Booth-sit” for artists needing short relief from their booths
  • Fill in as needed for volunteer needs in other areas

Art & Air Studios 

  • Assist fairgoers, primarily children, with hands-on art activities
  • Help set up and clean up art projects and the studios area itself
  • Help maintain & distribute art supplies

Site and Public Services 

  • Hand-out out programs to fairgoers entering the fair and track attendance
  • Direct & monitor parking in key areas
  • Clean tables, chairs and general site near food booths throughout fair hours

Hospitality

  • Assist with the preparation and serving of an artist breakfast on Saturday
  • Deliver lunches to artists on Saturday
  • Assist with the preparation and serving of an artist brunch on Sunday
  • Assist with serving at wine & beer tastings and sales on Friday & Saturday
